JOB OVERVIEW

The Recruitment Coordinator (Contractor) plays a crucial role in the recruitment process at Legion Technologies. Responsible for managing various aspects of the hiring process, the Recruitment Coordinator ensures smooth coordination between candidates, hiring managers, and the recruitment team. This role involves a combination of administrative tasks, communication with internal stakeholders, and attention to detail to facilitate an efficient hiring process.

Contract for approximately 8 months.

Please note that this role is 11am to 8pm RO. All candidates must be willing and able to work these hours to meet business needs for the duration of the contract period.

RESPONSIBILITIES AND DUTIES

1. Interview Planning and Coordination:

  • Prepare Interview Plans and store them in the designated shared drive.
  • Manage the Greenhouse Applicant Tracking System, which includes but is not limited to: opening requisitions, managing open roles, coordinating interviews and interview schedules, managing candidates and prospects, ensuring scorecards are completed, etc.
  • Update job descriptions and create custom questions for job postings.
  • Add custom questions to job posts and ensure rule activation.
  • Create forms if necessary for candidate communication.
  • Edit and update interview plans and scorecard attributes in Greenhouse.
  • Ensure notifications include coordinators and recruiters in each stage of the process.

2. Candidate Management:

  • Post job openings and double-check salary ranges.
  • Add Agency recruiters if within budget, and clean old candidate records.
  • Schedule interviews according to the interview plan and coordinate with hiring managers.
  • Work directly with hiring managers in Greenhouse and communicate interview details.
  • Coordinate with the interviewing team for availability and preferences.
  • Keep consistent communication with candidates to ensure best-in-class experience

3. Referral Program Management:

  • Acknowledge referral emails and maintain the Employee Referral Bonus Program tracker.
  • Manage referrals from offer to payout, including sending notifications and updating records.

4. Interview Scheduling:

  • Schedule all candidates promptly, and ensure candidates are moving forward or rejected within the process and in a timely manner.
  • Refer to interview plans for scheduling guidance.
  • Mark responsibility in requisitions to receive interview schedule notifications.
  • Check candidate time zones and correct any discrepancies before scheduling.
  • Verify team availability and resolve Zoom issues if necessary.
  • Communicate with candidates regarding rejections on time, personalize communications within these rejections

5. Onboarding and PeopleOps Support:

  • Maintain internal trackers for new hires and onboarding; facilitate document uploads.
  • Send welcome emails to new hires and select appropriate email templates.
  • Coordinate with HR for document signing and send necessary forms.
  • Create JIRA tickets, save offers, and initiate background checks using HireRight and CheckR.
  • Communicate background check standards to candidates and facilitate the process while maintaining timely and consistent communication.
  • Assist in setting up new hire meetings, training, and onboarding plans.
  • Send onboarding emails, employee handbooks, and new hire information.
  • Update JIRA tickets and coordinate with relevant teams for introductions and setups.
  • Facilitate swag orders and orientation sessions for new hires.

And, other responsibilities as assigned or required.

REQUIRED SKILLS AND QUALIFICATIONS

  • Bachelor’s degree in Human Resources, Business Administration, or related field is a plus
  • Proven 2+ years experience in recruitment coordination or HR administrative roles.
  • Ability and willingness to work 11am-8pm RO, Monday through Friday.
  • Fluent or Native in English is a must have language skill for this role.
  • Familiarity with Applicant Tracking Systems (ATS), preferably Greenhouse.
  • Strong organizational skills with attention to detail and ability to multitask.
  • Excellent communication skills, both written and verbal.
  • Self-starter who is able to work independently
  • Ability to work collaboratively in a fast-paced environment and adapt to changing priorities.

How We Determine What We Pay

As a fully remote employer, Legion determines pay for positions using local, national, and industry-specific survey data. We evaluate external equity and the cost of labor/prevailing wage index in the relative marketplace for jobs directly comparable to jobs within our company. Our posted salary range is based on national data and may be refined for a candidate's region/town/cost of living. For new hires, we strive to make competitive offers allowing the new employee room for future growth. Salaries will be based on the applicant’s location, level of experience, education, and specialized knowledge and skills. Additionally, we consider the external market rate, the amount we have budgeted internally, and internal equity within the company for the same position. An employee/candidate with a stronger skill set will receive higher pay.
