As a Virtual Assistant for this innovative psychology practice, you’ll be at the heart of operations, ensuring smooth client interactions and efficient administrative processes. You’ll be responsible for managing a wide range of tasks, from appointment scheduling and client communications to content creation and social media management. Responsibilities

  • Expertly manage appointment scheduling and client bookings using Jane software, ensuring a seamless experience for both clients and therapists
  • Serve as the first point of contact for the practice, answering phone calls and responding to client inquiries with empathy, professionalism, and efficiency
  • Play a crucial role in client care by matching individuals with the most suitable therapists based on their unique needs and therapist specialties
  • Handle sensitive insurance claims and billing processes with attention to detail and strict confidentiality
  • Craft engaging and informative social media content using Canva, helping to build the practice’s online presence and community engagement
  • Collaborate with the practice owner to create and publish insightful blog posts, contributing to the practice’s thought leadership in mental health
  • Efficiently manage email communications using Google Workspace, ensuring timely and professional responses to all inquiries
  • Maintain and update the practice’s Squarespace website, keeping information current and enhancing user experience
  • Assist in streamlining administrative processes, contributing to the overall efficiency and growth of the practice


Requirements


  • Proven proficiency in Jane software for appointment management and client records; quick learners will be considered
  • Demonstrated experience with Google Workspace, Canva, and Squarespace, or a strong willingness to learn these platforms
  • Exceptional written and verbal communication skills, with the ability to interact professionally with clients and team members
  • Outstanding organizational abilities and a talent for efficient time management in a fast-paced environment
  • Unwavering commitment to handling sensitive information with the utmost discretion and maintaining strict confidentiality
  • Basic understanding of mental health terminology and practices, with a genuine interest in the field of psychology
  • Familiarity with social media management and content creation, particularly in a professional services context
  • Ability to work independently and proactively, taking initiative to solve problems and improve processes
  • Flexibility to align work hours with Canadian business hours (Mountain Time)
