What you’ll do

  • Oversee the entire leave lifecycle from initial request to return-to-work, including required notifications, documentation collection, payroll coordination, and system updates.
  • Manage Sprout’s global leave programs (parental, medical, personal, disability, statutory, and other regional leaves), ensuring compliance with local laws and alignment with our values.
  • Serve as the first point of contact for employees and managers navigating leaves or complex benefits questions, providing empathetic, accurate, and timely support.
  • Monitor and interpret leave legislation and benefits regulations globally; recommend policy updates to maintain compliance and competitiveness.
  • Partner with external vendors, brokers, and carriers to administer benefit plans (health, welfare, retirement, lifestyle, and time-off programs) across all countries where Sprout operates.
  • Support annual benefits renewals, vendor implementations, and the rollout of new offerings.
  • Partner with Payroll and People Ops to ensure accurate Workday data, payroll feeds, and reporting related to benefits and leaves.
  • Monitor and manage the volume of incoming leave requests and queries to ensure all responses, communications, and case processing meet the established Service Level Agreements (SLAs) set for the People team, prioritizing timely and accurate resolution.
  • Drive continuous improvement of our benefits experience through process optimization, employee education, and data-driven recommendations.

What you’ll bring

  • Strong expertise in U.S. leave laws (FMLA, ADA, state leave programs) and a working knowledge of global leave requirements.
  • Experience administering global leave, and time-off benefits programs.
  • Empathy, discretion, and a customer-first mindset when supporting employees during life events.
  • Ability to balance operational excellence (compliance, accuracy, process rigor) with a people-centered approach.
  • Analytical mindset with ability to interpret data and present recommendations to HR and business leaders.
  • Strong vendor management and project management skills, including process documentation and implementation.

The minimum qualifications for this role include:

  • 2-3 years of experience in HR/benefits administration, including direct leave management.
  • Demonstrated knowledge of U.S. leave regulations; exposure to multi-country benefits and leave practices.
  • Strong written and verbal communication skills for explaining complex programs clearly and compassionately.

Preferred qualifications for this role include:

  • Global experience spanning North America, EMEA, and APAC regions.
  • Experience supporting scaling tech/SaaS organizations.
  • Familiarity with Workday or similar HRIS systems.
  • Benefits or HR certifications (CEBS, GBA, SHRM-CP/-SCP, PHR/SPHR, or equivalent).
  • Experience working with third-party leave and benefits vendors.

How you’ll grow

Within 1 month, you’ll plant your roots, including:

  • Learning Sprout’s People Team structure, culture, and values.
  • Gaining a full understanding of current leave programs, benefit offerings, vendors, and systems.
  • Building relationships with key partners across People Ops, Payroll, Legal, and regional HR teams.

Within 3 months, you’ll start hitting your stride by:

  • Owning day-to-day leave administration and employee communications.
  • Fully manage the Leaves shared inbox and Leaves cases in Jira
  • Identifying opportunities to improve workflows or employee experience in leave and benefits processes.

Within 6 months, you’ll be making a clear impact through:

  • Leading global compliance reviews for leave and benefits policies.
  • Delivering data-driven recommendations on plan design or vendor performance.
  • Partnering with Total Rewards to implement new offerings or optimize existing programs.

Within 12 months, you’ll make this role your own by:

  • Becoming the go-to subject matter expert and trusted advisor on leaves and benefits globally.
  • Driving strategic projects that enhance Sprout’s benefits experience and support our mission to be a people-first employer.
  • Establishing scalable, employee-friendly leave and benefits processes that grow with Sprout’s global footprint.

The base pay range for this role is 8,800 PLN (min), 11,000 PLN (mid), 13,200 PLN (max) monthly salary (B2B or Contract of Mandate). Individual base pay is based on various factors, including work location, relevant experience and skills, the responsibility of the role, and job duties/requirements.

Whenever possible, we want to provide team members the flexibility to work in the location that makes the most sense for them. If you prefer an office setting, this role may be based in our Kraków location. If you prefer to work remotely from another location within Poland, we will accommodate you as best as possible.
