Role Overview

Our client — a high-growth U.S.-based technology company operating in the SaaS and data intelligence space — is looking for a Recruiter / Operations Specialist to ensure all recruiting operations run seamlessly. This role serves as the operational backbone of the recruiting process, keeping communications, scheduling, and candidate pipelines moving without a single step falling through the cracks.

You’ll work 1:1 with the founders of one of the fastest-growing startups in the U.S., ensuring that recruiting efforts are executed with precision, urgency, and exceptional communication. The ideal candidate is detail-obsessed, highly organized, and an exceptional writer who can manage multiple threads at once, anticipate next steps, and mirror the founder’s communication tone with candidates and stakeholders.

Core Responsibilities

Recruiting Operations Management – 40%

  • Monitor all recruiting communication channels (email, LinkedIn, Slack, messages, call logs) to ensure timely responses and no missed follow-ups.
  • Manage and maintain the founders’ calendars for interviews, candidate calls, and follow-ups.
  • Ensure the recruiting process flows smoothly across tools and stakeholders.

Candidate Communication & Follow-Up – 30%

  • Draft and send high-quality, founder-style messages to candidates across email, LinkedIn, and other platforms.
  • Manage candidate interactions, including scheduling, rescheduling, rejections, next steps, and referral requests.
  • Serve as the communication proxy for the founder, ensuring tone, professionalism, and personalization.

Outbound Recruiting Campaigns – 20%

  • Run email and LinkedIn campaigns to targeted cohorts using Gem or similar tools.
  • Write, customize, and iterate on outbound sequences to improve engagement rates.
  • Track outreach performance and optimize campaigns for conversion.

Stakeholder & Vendor Coordination – 10%

  • Support management of outsourced recruiting agencies by reviewing contracts, negotiating terms, and screening initial submissions.
  • Conduct candidate debrief calls to capture interview feedback or ask clarifying questions (as needed).
  • Maintain internal recruiting dashboards and spreadsheets with accurate candidate data.

Requirements

Must-Haves (Required):

  • 3–5+ years of experience in recruiting coordination, recruiting operations, or executive search support.
  • Strong written communication — able to write fluent, concise, founder-style messages.
  • Experience managing multiple communication channels (email, Slack, LinkedIn, etc.).
  • Skilled in building and running outbound campaigns through platforms like Gem, LinkedIn Recruiter, or Noon.
  • Proficient with Google Workspace (Gmail, Sheets, Docs, Meet).
  • Highly organized, able to manage multiple workflows and priorities simultaneously.
  • Demonstrated ability to keep recruiting operations from slipping through the cracks.
  • Comfortable working flexible hours — willingness to occasionally adjust working hours to maintain communication flow (weekends included).
  • Ability to quickly absorb the founder’s work style and operate as an extension of their communication.

Nice-to-Haves (Preferred):

  • Experience managing relationships with outsourced recruiting agencies.
  • Comfort using candidate calling tools (e.g., Orym, OpenPhone).
  • Familiarity with basic spreadsheet formulas (e.g., counters, filters).
  • Prior experience working in high-growth startup or SaaS environments.
  • Excellent verbal communication and interview follow-up experience.
